Introduction

At Cyber Rebels, we are committed to providing a safe, healthy, and positive environment for all staff, clients, and learners. We believe that effective health and safety management is fundamental to delivering professional, high-quality training — whether sessions take place online, at a client’s premises, or in a venue we hire.

This policy outlines how we manage our health and safety responsibilities and how we work collaboratively with clients and venue providers to ensure everyone’s wellbeing.

Purpose

  • Protect the health, safety, and welfare of everyone involved in Cyber Rebels activities.
  • Clarify responsibilities when training is delivered on-site, in hired venues, or online.
  • Ensure compliance with the Health and Safety at Work etc. Act 1974 and related UK legislation.
  • Promote a proactive culture of safety, awareness, and shared responsibility.

Scope

This policy applies to all Cyber Rebels staff, trainers, contractors, clients, learners, and visitors participating in our training, whether in-person, hybrid, or online.

Responsibilities

Cyber Rebels

  • Ensure staff and trainers are competent, briefed, and follow safe practices.
  • Conduct reasonable risk assessments before each on-site or in-person session.
  • Provide health and safety information to trainers and learners in advance.
  • Record and report incidents or near misses promptly.
  • Comply with fire safety, manual handling, and display screen equipment regulations.

Clients (When Delivery Is On-Site)

  • Retain overall responsibility for the safety of the premises.
  • Ensure the venue is safe, clean, and suitable for training.
  • Communicate site-specific safety procedures, including fire and first aid arrangements.
  • Inform Cyber Rebels of any known hazards or restrictions before delivery.

Venue Providers (When Cyber Rebels Hires a Space)

  • Meet all legal health and safety standards.
  • Provide relevant risk assessments, fire safety, and insurance documentation.
  • Support delegate briefings on emergency procedures at the start of each session.

Online Delivery

  • Trainers work from safe, ergonomic environments with secure equipment.
  • Learners are encouraged to maintain good posture and take regular breaks.

Risk Management

Proportionate risk assessments will cover room layout, electrical safety, accessibility, first aid, and fire exits. Trainers must report safety concerns or near-misses to the Director of Training & Development. Lessons learned inform continuous improvement.

Accidents and Incidents

  • All incidents or near misses are reported immediately and logged internally.
  • Incidents on client premises are also reported to the client’s site contact.
  • Serious incidents are escalated in line with RIDDOR 2013 requirements.

First Aid

When on a client’s site, the client’s first aid provision applies. When Cyber Rebels hires a venue, we ensure appropriate first aid arrangements are in place and communicated at the start of the session.

Fire Safety and Evacuation

  • Trainers familiarise themselves with fire exits, alarms, and procedures before delivery.
  • Clients and venues must brief trainers on local fire safety arrangements.
  • In an evacuation, trainers lead attendees to the assembly point and account for participants.

Monitoring and Review

This policy is reviewed annually, or sooner if required by operational or legislative change. Feedback from trainers, clients, and venues is used to strengthen our health and safety management.
